Goals and Purpose
Meeting Type: Weekly “All Attend” Stand-up Duration: ~2.5 hrs Focus: Operational alignment, triage, and high-level progress tracking.
Primary Objectives
The “gpmtg” serves as the central synchronization point for the Spakowicz Lab. It is designed to move quickly through administrative and high-level updates to ensure the lab operates as a cohesive unit. Attendance matters; the user manual for Dan has what I expect if you cannot be there. The specific goals are:
1. Synchronize Operations & Deadlines
To ensure the entire lab is aware of critical timelines and administrative updates.
- Lab-wide Announcements: Disseminate information that affects everyone (e.g., equipment changes, safety protocols, administrative news).
- Collective Deadline Tracking: Review upcoming deadlines for manuscripts and grants.
- Accountability: Ensure that multiple lab members contributing to a single deadline are aligned and on track to meet submission dates.
2. Prepare for External Collaborations
To look ahead at the coming week and ensure we represent the lab effectively.
- Collaborator Meeting Review: Identify upcoming meetings with external partners.
- Readiness Check: Confirm that data, slides, and talking points are prepared for these external interactions.
3. Foster Cross-Functional Awareness (The Individual Update)
To break down silos and ensure everyone knows “who is doing what.” Each member provides a < 5-minute update:
- Recent Activity: A high-level summary of experiments or analysis performed recently.
- Roadblocks: Briefly flagging current challenges or technical hurdles.
- Purpose: This allows lab members to identify where they can offer help (often following up via Slack) without bogging down the meeting with immediate troubleshooting.
4. Triage and Schedule Deep-Dive “Project Meetings”
To efficiently route complex data discussions to the appropriate venue.
- Identification: Determine if a member has data ripe for a detailed review.
- Expertise Mapping: Instead of reviewing deep data in the gpmtg, we use this time to schedule a dedicated Project Meeting.
Attendance Strategy: Crucially, this allows us to identify who needs to attend that separate meeting (e.g., specific experts in a technique or topic) to ensure the presenter gets the specific feedback they need.
